When you don't want (or can't) import an Excel file with registration data you can use a single re-usable code/invite link.


The benefits of this approach are:

  1. You don't need to know will join the challenge ahead of time
  2. This approach might simplify the IT security and compliance process as there is no personal data shared with our platform without explicit consent of the participants
  3. Participants without access to email can still join the challenge
  4. Setup is easier as you can simply share a single link and QR code with all participants


There are also a few possible drawbacks to this approach:

  1. There is no central source of truth with all participant data
  2. You have less control over the data quality, participants can enter their own name
  3. As the join link is no longer personal it might get shared outside the group of invited participants
  4. Only limited participant data is collected so reporting might not be as complete as otherwise
  5. Participants are not required to enter their email address so it might not be possible to reach all participants for follow-up communications


Requesting participant information

You can configure which information should be entered by participants when they join. By default, no additional information is needed and participants join automatically when they use the join link/QR code.


Additionally, you might ask for the following information:

  1. Explicit consent to join the challenge: you may enter any prompt you want users to explicitly give their consent with
  2. Require a profile name: by default users are allowed to have a random nick name. Optionally, you might require users to enter a profile name to show on the leaderboards
  3. Team: ask users to join a team, and optionally create a new team
  4. Leaderboards: allow users to select which leaderboards they want to join

Configure Join Options

You can configure these options from the Edit Event screen.

Leaderboard selection

When you want users to select the leaderboards they want to join you can enter one or multiple options they need to chose from when they join. The values you enter are saved and processed as Leaderboard Import IDs. This allows you to map a single value to many different leaderboards and make complex m:n relations between the selected option and the actual leaderboards you want users to join when they select this option.


Team selection

You may allow team selection from the join screen. When you do so you can either allow or disallow team creation by users. If you do not allow team creation you should make sure you create teams from the Teams page in the backend before you share the join link.
